Job Description
Responsibilities
- Architect and build the operational system end-to-end: design repeatable, documented workflows (project management, vendor onboarding, delivery trackers, contract templates) that keep running without founder involvement.
- Own day-to-day operations for production projects and artist engagements, ensuring milestones and deliverables are met on time and on budget.
- Stand up and run project management tooling (e.g., PM tools): workflows, task assignments, timelines, and reporting.
- Coordinate and manage vendors, session musicians, studios, mixers, mastering engineers, and other partners to ensure reliable delivery.
- Serve as the primary operations contact for artists and clients: manage communications, expectations, schedules, and issue resolution.
- Draft, review, and enforce contracts, statements of work, and payment terms with vendors and artists; escalate legal/financial issues as needed.
- Delegate or do — your choice: build and lead a team as needed — hire, onboard, and manage vendors and part-time staff — or handle it directly. How the work gets done is your call; a durable system is the requirement.
- Create operational cadence (weekly project reviews, status reports, delivery confirmations) and KPI tracking to measure throughput and on-time performance.
- Produce initial 30– to 90-day plans and quarterly roadmaps for projects and operational improvements.
- Enable scale: identify capacity constraints and implement durable solutions to increase concurrent project throughput.
Qualifications
- Proven operator with hands-on experience building and running operations, project management, and vendor management in a creative or music-oriented business.
- Track record of building repeatable systems that outlast the operator: processes that keep running without constant founder or operator intervention. You are judged on whether the system works, not on how many tasks you personally complete.
- Strong project management skills and proficiency with project management tools; able to design workflows and manage multiple concurrent projects.
- Experience drafting, negotiating, and enforcing contracts or statements of work.
- Excellent communication and artist-relations skills; able to translate creative needs into operational plans while preserving artistic relationships.
- Comfortable operating in a fractional/part-time capacity; available to start in the coming weeks and flexible to provide occasional in-person support in New York State when required.
- Preferred: experience as the operational partner to a visionary founder, artist, or creative leader — someone who has taken vision and turned it into repeatable, reliable execution.
- Preferred: background at a label, talent agency, festival/live-event operations, or similar music-industry environment.
