Interim Senior Implementation Specialist, Process & AI
Job Description
Role
Who you are
- You Start with People: You care about helping customers and colleagues have a smoother, more reliable implementation experience
- You Own It, Together: You take responsibility for your part of the delivery, follow through on actions, and work closely with others to keep things moving
- You believe that Clear Is Kind: You ask good questions, communicate clearly, and raise issues early when something doesn't look right
- You're comfortable in the detail: You like being close to the operational core of delivery and bring strong attention to detail
- You're hands-on and practical: You're happy getting stuck into build, configuration, administration and data-related work
- You've got a process improvement mindset: You naturally notice where work is messy, duplicated or overcomplicated and want to improve it
- You use AI sensibly: You're interested in AI and automation as practical tools that remove friction, improve quality and save time
- You stay organised across moving parts: You're confident following through actions, keeping delivery organised and supporting multiple workstreams
- You document well: You bring strong written communication and documentation skills and understand the value of keeping knowledge reusable
- You collaborate well: You work effectively with Implementation Managers and the wider team, and you're confident supporting delivery without compromising quality or control
What the job involves
- We're looking for a Senior Implementation Specialist, Process & AI to play a hands-on role in the build and delivery of customer implementations
- Working closely with Implementation Managers, you'll help turn approved solution designs into live, working customer setups while increasing delivery capacity and improving consistency across the team
- This role sits right at the heart of implementation delivery
- It isn't a pure admin role, and it isn't a pure solution design role either. It's a practical delivery support role with real responsibility for build activity, configuration support, data preparation, testing support, documentation and internal coordination
- Alongside that, there's a clear improvement mission: spotting friction, duplication and manual effort, then helping redesign the way we work using AI, automation, templates and stronger operational discipline
- Let's be clear from the start: this isn't a passive coordination role. You'll be in the detail of implementations, helping delivery move forward day to day while also identifying where processes can be smarter, cleaner and more scalable
- You are the builder, the improver, and the person helping the wider team execute more effectively
Key Responsibilities
- Supporting implementation delivery: Helping build and configure Rotageek and ELMO solutions in line with approved solution designs and delivery plans
- Turning designs into live setups: Working alongside Implementation Managers to translate approved designs into accurate system setup and build-ready activity
- Owning detailed delivery tasks: Supporting configuration tasks, data preparation, data uploads, validation activity, build administration and delivery follow-through
- Keeping delivery artefacts sharp: Preparing and maintaining trackers, specifications, templates, test scripts, issue logs and handover documentation
- Supporting testing and go-live readiness: Helping with testing cycles, defect tracking, UAT preparation and go-live readiness activity
- Raising risks early: Carrying out build-related tasks with care and consistency, while escalating gaps, ambiguities and risks early
- Driving clean handovers: Helping ensure implementation work is completed accurately, documented properly and handed over cleanly
- Building repeatable ways of working: Contributing to a more structured, repeatable build process across the team
- Working closely with Implementation Managers: Taking ownership of defined build, coordination and follow-up tasks that keep active projects moving
- Reviewing and redesigning process: Using hands-on involvement in delivery to spot clunky, inconsistent, repetitive or overly manual ways of working, then helping shape more efficient alternatives
- Standardising smarter delivery: Creating checklists, templates, playbooks, clearer documentation and stronger controls that improve speed, clarity, quality and repeatability
- Using AI and automation practically: Identifying real opportunities to use AI and automation to reduce manual effort across documentation, validation, data handling, quality checks, build preparation, reporting and knowledge capture
- Creating reusable tools: Helping build prompts, templates, workflows and automations that improve consistency and save time
- Improving team adoption: Supporting the team in adopting smarter ways of working that are genuinely useful in practice
- Maintaining delivery discipline: Keeping implementation records, build notes, actions, risks and supporting documents accurate, complete and easy to use
- Improving visibility: Helping surface recurring delivery issues, blockers and improvement opportunities through strong documentation and pattern recognition

About the Company
Company Mission
To help businesses perfectly predict and meet demand by using data-driven tech to effectively and fairly schedule staff.
About Rotageek
Many businesses still adopt labour-intensive, time-consuming, manual processes, which do not provide staffing metrics. Employee scheduling is often a cumbersome process and manual errors are common. Rotageek's product helps firms predict customer demand, schedule staff and improve operational efficiency.
The company has a strong client list, including Pets at Home and O2 who, along with the rest of its clients, use their software across their UK stores to more effectively schedule staff, provide cover for shifts and to manage leave during busy periods. By allowing users to integrate with the wider company, including HR, payroll and other business functions, Rotageek offers a comprehensive solution.
The global workforce management sector is growing, as more and more companies automate their operations. This should provide a strong tailwind for Rotageek which appears to be going strong in the sector. Its acquisition by ELMO Group in 2025 broadens Rotageek's customer reach, while enhancing its parent company's rostering and scheduling solutions.
